How to follow up with real estate leads
Most leads are not lost to a competitor's marketing. They are lost to silence. Here is the cadence, channel mix, and script structure that keeps inquiries alive long enough to book.
1. Answer within 5 minutes
Speed beats polish. A fast, plain reply while the lead is still looking at your listing outperforms a perfect message an hour later, because by then they have usually filled in two more forms. Set a hard rule — 5 minutes during business hours — and build everything else around protecting it.
If you cannot personally hold that rule while showing property, that is the honest argument for handing follow-up to someone who can.
2. Use all three channels, not just one
Call first, then text, then email — within the same few minutes. The call signals you are real, the text is what they will actually reply to, and the email gives them something to look at.
- Call: one attempt, no long voicemail
- Text: name, the property or search they asked about, one question
- Email: the info they requested plus a direct booking link
3. Keep a 30-day cadence
A workable default for a new inquiry:
- Day 1 — call, text, and email within 5 minutes; second attempt that evening
- Days 2-4 — one touch per day, alternating text and call
- Days 5-14 — every other day, switching to value: new listings, price changes
- Days 15-30 — weekly, then move to your long-term nurture list
The cadence matters less than the fact that it exists and gets followed when you are busy. That is exactly when it normally collapses.
4. Ask one question per message
Every touch should be answerable in a few words. "Are you hoping to be in before spring, or is timing flexible?" gets replies. "Let me know if you have any questions!" does not.
5. Log everything the same day
An untracked follow-up is a follow-up you will repeat or forget. Note the channel, the response, and the next action with a date. A pipeline you trust is the difference between working leads and guessing at them.
When to hand it off
Around 30 leads a month, the cadence above stops fitting alongside showings and contracts. At that point the choice is to shrink the cadence or hand it to someone whose only job is holding it.
